Quotas

Usage Quota

The Usage Quota feature limits the consumption of tenants and users in the system.

Access Roles

Access to Usage Quota and User Quota views is determined by your assigned role:

  • Tenant Administrator: Full access to both tenant-wide and user-specific quota management.
  • Quota Administrator: Manage quotas for the entire tenant.
  • Subtenant Administrator and User Quota Administrator: Manage quotas for individual users only.

If you do not have one of these roles, you will not be able to view or manage quota restrictions.

Default Quota Restriction

By default, every user who registers as a new tenant receives a usage restriction of €0.50 per day. This restriction applies to all tenants on plans that do not include the Usage Quota feature. You can view and manage this restriction in Settings > Usage Quotas.

Upgrading to Usage Quota Feature

If you subscribe to a plan that includes the Usage Quota feature, you gain the ability to set custom quota restrictions for your entire tenant and for individual users separately.

Go to Settings > Usage Quotas to apply restrictions to the tenant or to specific users.

Applying Quota Restrictions to Tenant

To apply a quota restriction to your tenant:

  1. Navigate to Settings > Usage Quotas.
  2. You will see three cards showing your current consumption and how close you are to reaching your available credit, as well as a grid displaying quotas applied over different date ranges.

  1. You can create a new quota, update the current quota, or delete it.

Creating a New Quota

When creating a new quota, you can set restrictions for different periods: Daily, Monthly, and Yearly. None of these are required, but:

  • The monthly quota cannot be higher than the yearly quota.
  • The daily quota cannot be higher than either the monthly or yearly quota.

All quota restrictions are configured in the tenant's currency. Once quotas are set, create the quota and you will see your new values reflected in the cards and grid. When you create a new quota, any previously active quotas are closed.

Editing a Quota

To edit a quota, go to the grid and edit the current quota. This allows you to adjust the quota without creating a new one.

Deleting a Quota

To delete a quota, you can remove only the current quota. This action will reopen the previous valid quota to ensure the system always has a consumption restriction. If there are no previous quotas, no restriction will be applied.

Managing Subtenant Quotas

If your organization uses subtenants, quota management becomes more flexible:

  • In the quota creation or editing form, you will see an additional field to select a subtenant.
  • If you select a subtenant, the quota restriction will apply only to that subtenant and its users.
  • If you leave the subtenant field empty, the quota will apply to the entire organization (all subtenants and users).
  • All subtenant quotas are also restricted by the organization quota
  • You can create, edit, or delete quotas for each subtenant independently.

Example:
Suppose your organization has three subtenants: A, B, and C.

  • If you set a monthly quota of €100 for subtenant A, only users in subtenant A are restricted by this quota.
  • If you set a quota for the whole organization, all subtenants and users are restricted unless a subtenant-specific quota exists.

Applying Quota Restrictions to Users

User quota restrictions follow the same logic as tenant quotas. To apply a quota restriction to a user, go to Settings > User Quotas and follow the same steps as for tenant quotas.
